To make use of this feature, navigate :

Step 1: Navigate to the Assets page, select all assets by .

Step 2: Select the assets you want to update in bulk. You can do this by either selecting the tick-box next to each asset entry or by using the select all checkbox and from the actions menu select download spreadsheet

Step 3: By selecting one or more assets, the Actions button appears to the right-hand side, click this Actions button then select Download Spreadsheet. This will invoke a download of your asset registry to a spreadsheet . in Excel format (xlsx)

Here you can now review the details and make your required changes.

Note

Some restrictions that apply to this processImportant Restrictions When Updating Asset Spreadsheet:

  • Asset IDs cannot be changed

  • Users are only able to add users emails against system and technical owners that exist within Prism

  • Users can only include assets for companies that exist within Prismas these are assigned automatically by Prism

  • A Prism User must first exist in your Prism tenant before you can assign a Technical Owner and/or System Owner to assets in the downloaded spreadsheet.

  • A Company must first exist in your Prism tenant before you can assign a Company to assets in the downloaded spreadsheet.

  • When assigning a Priority Rating in the asset spreadsheet, the value must be between 1 and 10. Otherwise the value can remain as ‘--’

  • Prism will only accept spreadsheets using the columns and column names provided in the downloaded spreadsheet. Attempting to upload modified asset spreadsheets that contain additional columns will cause the import to fail.

Once you have made the required edits , save your file, navigate back and saved the spreadsheet, you are are ready to load the updated asset information into Prism:

Step 1: Navigate to the Assets page within Prism.

Step 2: Select the Import Assets button found within in the top right of the page and upload your spreadsheet to Prismupper-right

Step 3: In the Import Assets page, select the file format on the right-hands side. In this example select Spreadsheet

Step 4: Open your File Manager by selecting Choose a Prism asset spreadsheet file and navigate to your updated assets spreadsheet file

Step 5: Prism will load the file into the Import Assets page where you can select the [updated] assets you want to import into Prism. In most cases, you can use the Select All tick-box to choose all assets for importing.
