Bulk Updating of Asset Details on the Platform

The Platform offers a convenient feature for mass updating of asset details. This process involves downloading your asset registry to a spreadsheet, the user can then make the required changes and upload them back to Prism to update the asset information.

To make use of this feature:

Step 1: Navigate to the Assets page.

Step 2: Select the assets you want to update in bulk. You can do this by either selecting the tick-box next to each asset entry or by using the select all checkbox

Step 3: By selecting one or more assets, the Actions button appears to the right-hand side, click this Actions button then select Download Spreadsheet. This will invoke a download of your asset registry to a spreadsheet in Excel format (xlsx)

Here you can now review the details and make your required changesmaking the necessary changes, and then uploading it back to the Platform. This method is efficient for managing large numbers of assets simultaneously.

Steps for Bulk Asset Update:

  1. Access Asset Registry:

    • Go to the Assets page on the Platform.

  2. Select Assets for Update:

    • Choose the assets you wish to update by ticking the boxes next to each entry or using the ‘select all’ checkbox.

  3. Download Asset Details:

    • With one or more assets selected, click the Actions button and then choose ‘Asset Info.xslx’ from the Download section. This action downloads your asset registry in an Excel format (xlsx).

  4. Edit the Spreadsheet:

    • Open the downloaded spreadsheet to review and edit the asset details as required.

Important Restrictions When

Updating Asset

Editing the Spreadsheet:

  1. Asset IDs

cannot be changed as these are assigned automatically by Prism
  • A Prism User must first exist in your Prism tenant before you can assign a Technical Owner and/or System Owner to assets in the downloaded spreadsheet.

  • A Company must first exist in your Prism tenant before you can assign a Company to assets in the downloaded spreadsheet.

  • When assigning a Priority Rating in the asset spreadsheet, the value must be between 1 and 10. Otherwise the value can

    2. Technical/System Owner: Ensure that a Prism User exists in your tenant before assigning them as owners in the spreadsheet.

    3. Company Assignment: A Company must be registered in your tenant to assign it to assets in the spreadsheet.

    4. Priority Rating: When assigning, the value must range between 1 and 10, or remain as ‘--’

  • Prism will only accept spreadsheets using the columns and column names provided in the downloaded spreadsheet. Attempting to upload modified asset spreadsheets that contain additional columns will cause the import to fail.

  • Once you have made the required edits and saved the spreadsheet, you are are ready to load the updated asset information into Prism:

    Uploading the Updated Spreadsheet:

    1. Return to Assets Page:

      • Navigate back to the Assets page on the Platform.

    2. Initiate Import:

      • Click the ‘Import Assets’ button located in the upper-right
