Tenant Overview - Generic Database - Document Templates

Tenant Overview access is reserved for security providers only to assist them in servicing their clients.

Testing providers can now create and manage document templates (such as Statement of Works or Proposals) at tenant overview level.

Creating document templates here can then be used across all tenants within your instance to produce documents from completed questionnaires.

The platform also enables you to create tenant specific document templates if a client has a particular format to follow.

Creating Document Templates

For those users that have Tenant Overview and Generic Database access, you will see a menu option under Generic Database named Document Templates.

Once selected you will be shown a list of all previously created templates, if any, and the ability to select the + New Template button.

The platform will ask you for a name for your template.

Once a name is provided, the platform will then load up the Document Template editor, as shown below:

Here you are able to perform the following tasks from the Overview tab:

  • Select a saved layout - Future feature not available at the moment

  • Options to display:

    • Contents page

    • Copyright message

    • Show page numbers across pages

  • Scheme Options:

    • Primary colour

    • Text colour

    • Header colour

    • Header text colour

From the Variables tab:

  • System Variables - a number of system variables can be entered and placed into your document template as placeholders ready to be populated when the template is used within a clients tenant to generate a document.

  • Questionnaire Variables - a number of variables that are used as part of the questionnaire feedback can be entered here to be used through out the template. Questionnaire variables that are defined here, will need assigning to a questionnaire question when the document is generated.

Editing a Template

In order to edit your template the platform provides you with an in-view preview of your document template. Here you are able to move between pages and create new pages:

In order to add text you can click into an element within the page which will in turn open a fully integrated editor panel where you are able to perform the following:

  • Insert Text

  • Text Formatting

  • Insert Tables

  • Insert Paragraphs

  • Insert Code Snippets

  • Document Alignments

  • Bullets, Indentations

  • Source Code - You are able to insert HTML code from other templates to speed up your designing or achieve consistent layouts.

Inserting Variables into Templates

When within the editor you are able to select the insert button next to the desired variable and the platform will insert the placeholder for you. Alternatively you are able to type this in providing use the following format:

  • ${VARIABLE_NAME}

Approving a Document Template

Once your document template is designed and completed you will next need to approve it for use across the platform.

Within the Document Templates root page, you can select Approve from the line item actions button list:

This will make that template visible across all tenants within your platform instance.
